HireReach operates as a form-building platform. We provide tools that allow our clients (employers, recruiters, and other businesses) to create forms and collect data from their users.

When you submit information through a form built with our platform:

  • The client who created the form is the "data controller" for your information
  • HireReach acts as a "data processor" on their behalf
  • For questions about how your data is used, please contact the client directly using the contact information provided on their form

HireReach is established in Latvia (European Union) and complies with the General Data Protection Regulation (GDPR). We also comply with the California Consumer Privacy Act (CCPA) with respect to residents of California.

2. Information We Collect

We collect the following types of information:

  • Full Name — provided when you submit an application form
  • Email Address — provided when you submit an application form
  • Phone Number — provided when you submit an application form
  • State/Location — provided when you submit an application form
  • LinkedIn Profile / Additional Contact — optional information you may provide
  • Resume/CV — optional file you may upload
  • Invite ID — tracking identifier from referral campaigns

Automatically Collected Information

  • IP Address — collected when you visit or submit a form
  • Browser User Agent — information about your browser and device
  • Cookies — small text files stored on your device (see our Cookie Policy)
  • Usage Data — pages visited, time spent, referral source

3. How We Use Your Information

4. Data Sharing with Third Parties

IMPORTANT: By submitting your information through our Platform, you acknowledge and agree that your personal data will be shared with third parties for job-matching purposes, as described below and as you confirm on our application form.

HireReach acts as a data collection platform and intermediary between candidates and employers. We do not control the privacy practices of third-party employers once your data has been transferred to them.

4.1 Categories of Third Parties Receiving Your Data

We may share your personal information with the following categories of third parties:

  • Employers and recruiters who have current job openings
  • Job placement and staffing agencies
  • Background check and verification services (if required for specific positions)

HireReach does not sell your personal information to third parties for their own marketing purposes. We only share your data for the specific purpose of job application matching.

Your data (including but not limited to your name, email, phone number, state, resume, and any other information you provide) may be shared with multiple third-party partners to increase your chances of being matched with a suitable opportunity.

4.2 Your Rights Under GDPR (For EU Residents)

If you are a resident of the European Union, you have the following rights under the GDPR:

  • Right to access your personal data
  • Right to rectification of inaccurate data
  • Right to erasure ("right to be forgotten")
  • Right to restriction of processing
  • Right to data portability
  • Right to object to processing
  • Right to withdraw consent at any time

To exercise these rights, use our online Delete My Data form. We will respond within 30 days as required by law.

You also have the right to lodge a complaint with the Latvian Data State Inspectorate (Datu valsts inspekcija) or your local supervisory authority.

4.3 Information About Data Sources (GDPR Article 14)

Where we obtain personal data indirectly (from third parties such as referral campaigns), we provide the information in this privacy policy within one month of obtaining the data, as required by GDPR Article 14.

The sources of your data may include:

  • Direct form submissions from you
  • Referral campaigns with unique Invite IDs
  • Third-party job boards (when you click through to our forms)

If providing this information would require disproportionate effort, we make this information publicly available on our website as permitted by GDPR Article 14(5)(b).

5. Data Retention

We retain your personal information for 90 days after collection. After 90 days, your data is permanently deleted from our active systems. If you would like your data deleted sooner, please submit a Delete My Data request.

Data shared with third-party employers is subject to their retention policies. HireReach requires third parties to delete data within 90 days of completing the recruitment process.

5.1 Third-Party Data Practices

IMPORTANT: Once your personal information is shared with a third-party employer or recruiter, HireReach no longer controls how that third party uses, stores, or further shares your data. We require our third-party partners to agree in writing that they will:

  • Use your data only for evaluating your job application
  • Not sell your data to other parties
  • Delete your data within 90 days of completing the recruitment process

However, HireReach cannot guarantee compliance by third parties. We recommend you review the privacy policies of any employer who contacts you.

6. Your Rights

Depending on your jurisdiction, you may have the following rights:

  • Right to Access — request a copy of your personal data
  • Right to Rectification — request correction of inaccurate data
  • Right to Deletion — request deletion of your data
  • Right to Object — object to processing of your data
  • Right to Data Portability — request transfer of your data

6.1 Submitting Requests Online

You may exercise your rights through our secure web forms:

  • Delete My Data — submit a GDPR erasure request. You will need to provide your name, email address, and legal confirmations so we can verify your identity and locate your records.
  • Report Abuse — report suspicious forms, scams, phishing, or privacy violations on HireReach.

All submissions are logged with a timestamp for audit and compliance purposes. After you submit a form, you will see a confirmation on screen. We aim to respond within 30 days, as required by GDPR and similar laws.
